On The Day Coordination + Management

THE DAY HAS COME

Time To Relax And Celebrate

On-the-Day Wedding Management is for couples who have everything planned and organised but feel they would like a professional wedding planner in the background. By hiring a wedding coordinator ensures all that hard work doesn’t go to waste and everything comes together exactly how you envisaged.

In the last few weeks, there are likely to be long weekends away for stag and hen parties, dress and suite fittings, hair, and makeup trials, and much more. All of these are the fun and exciting parts that you want to totally immerse yourselves in without that added pressure of all the wedding final details, timings, and how it will all come together on the day.  This service is for couples who have enjoyed taking on the planning process themselves but require additional help on the final lead-up to their day and the day itself.  I will be there to answer any questions you may have, offer advice, and coordinate the details, suppliers, venue staff, and caterers making sure everything runs smoothly during the lead-up and on the wedding day itself.

This service is also perfect If you have access to your venue in the days leading up to your wedding and you require supplier coordination, we are more than happy to help. This is particularly useful if you have an outdoor wedding or a tipi/marquee wedding, I will advise suppliers that I am their main contact, confirming details and dealing with any issues before the wedding. Allowing you the confidence and freedom to enjoy your day with family and friends whilst seeing all your plans beautifully come together and expertly managed on your behalf.

OUR

Process

Step 1: Consultation

When booking your consultation, you will be sent a design questionnaire to complete prior to our meeting, not only does this information enable me to form an initial understanding it also provides me with a clear picture from the start, allowing me to gain some initial ideas; while also helping guide you through what you can expect from our meeting.

This is where we will have the opportunity to meet via an initial zoom call, It’s essential for us to establish a mutual connection right from the start so I can learn more about you as a couple and help me obtain a good overview of what you'd both like to achieve on your wedding day. Collecting input, and personal stories to start exploring your event story; adding guided input to interpret your vision and building the foundations to designing a truly bespoke concept. I will also be able to answer any questions you have about me, my approach, and the planning process.

Once we have gathered all the information needed, and you are happy that we are a good fit, we will move forward to the next stage of the design.

Step 2: Story & Design Development

Once we can confirm the service you require and the contract and design fee is in place, the fun begins!

By gathering all the information during our creation meeting, I will start to research and build your bespoke plan. Your budgets, mood boards, colour palettes, and breakdown of all the elements are to be implemented together with any venue and supplier recommendations.

Refined through your feedback your bespoke plan and style design will be created, bringing your vision to life. and mood board for each stage of your celebration which truly works for you and your venue.

Step 3: Logistical Planning & Support

By gathering all the information during our creation meeting, we are ready to book a venue onsite to walk through your plans. I prefer to visit the site as soon as your wedding date is secured in our diary. Every site is different, therefore requirements for each site are unique, the main aim of the viewing is to assess the lay of the land and identify any restrictions esp if it’s a grade 1 or 2 listed building. Walk the site, view the parking, assess access points for both suppliers and guests, checking gate widths and height restrictions for heavy goods vehicles/marquee/tipi lorries.  Clarifying the venue has ample power and any sound barriers. Confirm what the venue supply within your booking and what needs to be supplied by you.

If it’s a dry-hire wedding establish what the venue will supply within your booking or if this is the venue shell with no additional features and what needs to be supplied by you. If the proposed is a marquee/structure looking at the location from every angle, clarifying discrete yet suitable workable locations for your site services (generators, catering tents, and bathroom facilities) confirming meeting fire points, running water facilities, and onsite storage.

If it’s a venue we have visited many times before, I will still book an onsite due to each wedding having its own uniqueness, therefore understanding your own style and how you want it reflected within the venue is important for you to gain a visual through the venue walk round. Giving the opportunity to add or remove aspects to suit your overall vision.

I will create your wedding day schedule, inclusive of the front and back of house timeline, site services in preparation for supplier site services power requirements and band or DJ power source, catering requirements, guest dietary requirements, seating plans, (Set up, layout, and provision care). The securement of all supplier's onsite public liability documents, and relevant health, and safety certificates.

Throughout the process, we will work closely with you and on your behalf; meticulously planning, sourcing, scheduling, and managing supplier communication. Creating our comprehensive 'event report' will ensure each and every detail, movement, and timing are considered in advance of your event.

Step 4: Delivery and Enjoyment

Your wedding is not just for your guests to experience; we want you to be able to immerse yourself fully into every single aspect of your day, sipping champagne, creating memories, and celebrating the next chapter in your story.

When it comes to your big day, I will be the first on-site to manage the finale of the planning process. I will personally oversee the construction phase, managing and coordinating suppliers with any unloading, styling, installations, florals, etc. Making sure everyone knows their place and everything is in position and ready for your day.

The TH represents you on the day, greeting your guests; whilst maintaining a discreet and subtle presence to ensure the order of events flows naturally for the entirety of the event. allowing you to fully enjoy your special day free from worry and relax into your first morning as a married couple.

(You can expect me to be onsite for up to 10 hours (additional hours can be built into your package. If required).
